Breaking through Virtual Event Production with Digital Twin Technology

Box, a leading Content Cloud that empowers organizations to manage their entire content lifecycle securely on a single platform, looked to deliver two strategic internal events to align the company's leadership, foster employee development, and empower their go-to-market teams for a successful year ahead. Due to factors such as remote work and predominantly digital experiences, Box faced the challenge of ensuring that these events would be impactful, engaging, and seamless for any employee who attended remotely.

Box Leaders’ Day was a crucial all-hands event focusing on employee growth and development for Director-level and above leaders. The experience featured presentations from Box executives sharing their vision and strategies for the company's future. It also included interactive sessions on career development, forming alliances, and networking, fostering employee collaboration and learning.

Vision23 was a dynamic, three-day, GTM kickoff event aimed at energizing and equipping the entire company for the challenges of the year ahead. The event needed to have a virtual event platform to facilitate Q&A sessions, networking opportunities, and self-assessment activities, enhancing engagement and participation among the team members. In partnership with InVision, both Box events were executed seamlessly. The implementation of a broadcast studio “digital twin” streamlined the virtual event production process and significantly enhanced the audience experience for digital attendees.

The digital twin component:

Creation of a 3D model:
To optimize the content delivery for remote audiences and create an immersive experience, InVision used 3D modeling to create a digital twin of Box's studio in Redwood City. This 3D model replicated the physical space virtually, allowing InVision's creative teams to collaborate remotely and plan various camera shots, graphics placement, and presentation layouts. The digital twin acted as a virtual canvas for the production team to visualize and fine-tune every aspect of the events.

Optimizing camera shots and sightlines:
By using the digital twin, the creative teams could experiment with different camera angles and placements to ensure that the remote audience had the best possible view of the presentations. Sightlines were carefully evaluated to avoid obstructions and ensure that key elements, such as speakers and presentation materials, were clearly visible to the audience.

Maximizing screen space and graphics placement:
One of the essential considerations in virtual events is optimizing screen space. With the digital twin, InVision's designers and producers precisely planned the placement of graphics, logos, and other visual assets, ensuring they didn't obstruct the main content.

Testing for readability and impact:
InVision conducted rigorous testing within the digital twin environment to assess the readability and impact of on-screen text, graphics, and animations. This ensured that all visual elements were presented clearly, making the virtual experience engaging and informative for the remote viewers.
